Attendance

Advisors never pay to attend a gTime show.  All matters dealing with payments and multiple shows pertain to Suppliers ONLY.

Registration and Pricing.

Q:  When registering for shows, is it possible to register for just one show within a series or do I have to register for them all?

 A:  Absolutely, you can register for just one show. Within a series, you can select from 1 to all of them. The choice is yours.

Q:  Is there a discount for registering for multiple shows?

 A:  Unfortunately, at this time, we are not providing a discount for multiple shows, but that might be something we can offer in the future. It is something under consideration.

Form of Payment & Registration Deadlines.

Q:  What forms of payment do you accept?

 A:  At gTime, suppliers are encouraged to pay by credit card, but we do accept ACH and checks.

Q:  If I use a credit card, do you charge a fee for processing?

 A:  gTime is happy to process your credit payment and we are absorbing the cost of processing as part of our services to our supplier community.

Q:  Would you provide details on paying by check?

 A:  Sure. When paying by check, we expect to receive it inhouse within 10-14 days of the registration date. Checks need to be payable to: Gtime 40930 N Ironwood Drive Suite 105-618 Queen Creek, AZ 85140. At which point, if the check is not received, and after reaching out for confirmation or pending receipt of the check, the reserved space may be cancelled. All payments must be fully received within the standard registration window.

Q:  What is the standard registration window or deadline?

 A:  The early registration window is any time prior to 120-days of a show date which receive a savings of $50 off the standard rate.  Standard show costs of $325 are for all registrations received from 119-days up to 46-days prior to a show date.  Late registrations received within 45-days incur a 10% or $32.50 late fee for a total cost of $352.50  

Q:  Am I able to attend without registering in advance?

 A:  SUPPLIERS: Suppliers are not permitted to attend without prior registration.  Registrations requested/received within 29-14 days prior to show date may incur a small late registration fee.   ADVISORS: Advisors may attend “day of” show, but will need to complete an attendance registration form with the reception desk staff.

 

Show Times.

Q:  What are the times of a gTime show?

 A:  gTime shows are always held from 10am – 1pm.

Q:  Q: Am I permitted to arrive early?

 A:  Yes, suppliers are welcome and encouraged to arrive early. Standard practice is 1 hour prior to show time with a brief announcement and meeting to be held 15 minutes prior to the show starting. In some cases, and you will be properly advised, we may be granted access to the showroom 2 hours prior to as much as the night before the show time. Advisors are encouraged not to arrive more than 15 minutes early, as we only grant access once the show officially starts at 10am. Shows end promptly at 1pm and advisors will not be granted access into the showroom within the last 20 minutes of the show (12:40pm).

Room Rates.

Q:  Are accommodations available at a discounted rate at the hosting facility?

 A:  When shows are held in hotels, we have done our best to obtain a discounted “block” rate. Unless specifically noted in the registration form, a code is not needed. Just be sure to mention gTime when making the reservation.

Parking.

Q:  Is parking included in the cost of the registration?

 A:  Generally and unless otherwise noted, parking is either complimentary as a standard part of the host facility, or parking is included. 

Food and Beverage.

Q:  Are there any food & beverage services provided at a gTime show?

 A:  In effort to keep costs at a minimum as food & beverage services have a minimum cost, it is not feasible to offer food and beverage services at a gTime show. Many times we have been to arrange for water stations and/or coffee stations for our suppliers and advisors.

Future Events.

Q:  Are there plans to expand into more cities and locations in the future?

 A:  YES! Here it is 2026 and we have grown to 69 show dates and locations for you to join us this year.  Due to the high demand, we will return to a few cities for a second show in the year.  Your feedback on where you would like to have a show is welcomed and is greatly appreciated.

gTime Exhibitor Terms & Conditions 
Global Travel Industry Marketing Events 

These Terms & Conditions outline participation requirements for exhibitors attending events organized and operated by gTime (Global Travel Industry Marketing Events). 

By registering for and participating in a gTime event, exhibitors acknowledge and agree to the following terms. 

  1. Event Participation

gTime organizes business development and networking events for travel industry suppliers, including but not limited to hotels, cruise lines, destination management companies, tourism boards, tour operators, insurance companies, and other travel industry organizations, to connect with travel advisors and industry professionals. 

Participation is confirmed only upon receipt of payment and written confirmation from gTime. 

  1. Exhibitor Fees & Payment

All exhibitor registration fees, sponsorship fees, and related payments are due according to the payment schedule provided by gTime. 

Failure to remit payment by the applicable deadlines may result in cancellation of participation and reassignment of exhibitor space, appointments, or sponsorship opportunities. 

  1. Non-Refundable Policy

All exhibitor registration fees, sponsorship fees, and related payments made to gTime are non-refundable. 

This policy applies to cancellations, no-shows, scheduling conflicts, travel disruptions, weather events, business interruptions, or other circumstances that prevent attendance. 

  1. Medical, Personal Emergency, or Company Mandate Exception

If an exhibitor representative or Business Development Manager (BDM) is unable to attend due to a documented medical emergency, personal emergency, or mandatory company-related obligation, the exhibitor may be considered for a Future Show Credit, subject to review and approval by gTime. 

Notification should be provided as soon as reasonably possible prior to the event and include: 

  • Exhibitor company name
    • Name of affected representative
    • Brief description of the circumstance 

Supporting documentation may be requested when appropriate. 

  1. Substitution of Representatives

Exhibitors may substitute attending representatives from the same organization at no additional charge.  Advanced written notice is greatly appreciated and expected whenever possible.  provided gTime receives advance written notice prior to the event. 

  1. Event Changes or Cancellation

gTime reserves the right to modify event schedules, venues, appointment formats, programming, or participation requirements as needed. 

Whenever possible, exhibitors will be notified of material event changes no later than 21 days prior to the affected event(s). 

However, if participation thresholds established by gTime are not achieved, event modifications or schedule adjustments may be necessary. 

If gTime cancels or postpones a scheduled event, reasonable efforts will be made to reschedule the affected event(s). Registered exhibitors will automatically be transferred to the revised event date. 

If an exhibitor is unable to participate on the rescheduled date, a Future Show Credit will be issued for use toward a future gTime event. 

Future Show Credits are non-refundable.  They are transferable within the exhibitor organization, and may be applied toward future participation as determined by gTime. 

gTime’s liability for event cancellation shall be limited solely to the amount paid by the exhibitor for the affected event. gTime is not responsible for airfare, hotel accommodations, travel expenses, loss of business, or consequential damages. 

  1. Exhibitor Non-Attendance Support Options

To help maintain exhibitor visibility and business continuity, gTime may offer alternative participation options when an exhibitor representative or Business Development Manager (BDM) is unable to attend a scheduled event. 

Options may include: 

  • Exhibitor table set-up using company-provided marketingmaterials;and/or 
    • Representation by an experienced travel industry professional or former BDM for an additional per diem fee plus applicable travel expenses. 

Exhibitors are encouraged to notify gTime as early as possible regarding cancellations or non-attendance situations so that appropriate arrangements can be explored prior to the event. 

  1. Code of Conduct

All participants are expected to conduct themselves professionally, respectfully, and in a manner that supports a positive event experience for attendees, travel advisors, suppliers, sponsors, and event staff. 

gTime reserves the right to remove any participant whose conduct is deemed inappropriate, disruptive, unsafe, or detrimental to the event environment. 

  1. Force Majeure

gTime shall not be liable for delays, interruptions, modifications, or cancellation of events resulting from circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, government restrictions, pandemics, labor disputes, transportation disruptions, venue issues, or other emergencies. 

  1. Release, Indemnification & Limitation of Liability

Participation in gTime events is voluntary, and exhibitors assume responsibility for their personnel, materials, activities, and property associated with event participation. 

By registering for and participating in a gTime event, exhibitors agree to release, indemnify, defend, and hold harmless gTime, its officers, employees, contractors, representatives, affiliates, event partners, and venue providers from and against claims, liabilities, damages, losses, costs, and expenses, including reasonable attorney fees, arising out of or related to: 

  • Participation in the event
    • Travel to and from the event
    • Exhibitor displays, materials, or promotional activities 
    • Acts or omissions of the exhibitor or its representatives 
    • Loss, theft, or damage to exhibitor property or materials 

gTime shall not be liable for indirect, incidental, consequential, special, or business interruption damages, including loss of profits, revenue, or business opportunities. 

Exhibitors are responsible for maintaining appropriate insurance coverage for their personnel, promotional materials, exhibits, and property associated with participation in a gTime event. 

  1. Acceptance of Terms

Submission of registration and payment constitutes acceptance of these Terms & Conditions. 

gTime may update these Terms & Conditions periodically. The most current version will apply to future registrations and event participation.

gTime Travel Advisor Registration Terms & Conditions and Privacy Policy 

By registering for a gTime travel trade show event, you confirm that you are a professional travel advisor or travel industry professional. 

Registration information submitted must be accurate and complete. gTime reserves the right to approve, deny, or cancel registrations at its discretion. 

Attendees agree to conduct themselves professionally and respectfully toward exhibitors, venues, sponsors, and fellow attendees throughout the event. 

By attending, you acknowledge that photographs and video may be taken during the event and may be used by gTime for promotional and marketing purposes. 

Attendees are responsible for their own travel arrangements, accommodations, and personal belongings. 

Event details, participating suppliers, locations, and schedules are subject to change without notice. 

Privacy Policy 

gTime collects registration information, including contact and business details, for the purpose of verifying eligibility, managing attendance, and communicating event-related updates. 

Information provided may be shared with participating exhibitors, sponsors, or event partners for professional travel industry networking and follow-up purposes related to the event. 

gTime does not sell personal information to unrelated third parties. 

By registering for a gTime event, you consent to receiving event-related communications from gTime. You may unsubscribe from marketing emails at any time. 

gTime takes reasonable measures to protect submitted information; however, no online transmission or storage system can be guaranteed completely secure.
